To help with this process of entering transactions, you can save a transaction as a template.This means you can fill in whatever fields to suit your needs, then save that form with the fields filled in. Once the transaction form is saved as a template, you can go back and work with the same information, even if the original transaction has been submitted.
To enable the workflow right

You can set the system so that individual employee roles are able to save transactions as a template. This can also work if you would like to limit the ability to certain employee roles.
- Click Settings > Lists > Organization setup > Employee roles.
- Locate and double-click the employee role you would like to work with.
- Click the Workflow rights tab.
- To enable, click the Can save transaction templates checkbox.

To disable, deselect the checkbox.
- Click Save and close.
To save a transaction as a template

- Click Transactions > Cash transactions > Make payment.
This article outlines how to save a Make payment transaction as a template. However, all the new transaction forms have this ability.
- Enter the values in the fields as you see fit.
You may save a template now if one of the following fields have been entered: Currency, G/L account, or Tax consequences.
A Value date is not required.
- Once you have created the transaction form to your liking, click Memorize.

- The New transaction template form will appear. You may give your transaction template a Name and Description. You may also limit it to a specific Business party, Category, or transaction Type.

- Click Save and close. The New transaction template form will save your data and close. You will be returned to the Make payment form.
To review the saved transaction template
- Click Client administration > Lists > Transaction entry.
- Click the Hide standard transaction checkbox to view transactions saved as templates. These templates can now be processed.
- Locate and double-click the transaction template you'd like to open up as a new transaction.
You may also right-click the transaction template and select Enter transaction.
