A compliance scrub checks all business parties loaded into Primacy Workplace against a third party database of Politically Exposed Persons and heightened risk individuals and organizations.
We would recommend that running the process manually is only done for databases of 5000 business parties or less. The preferred way to run the scrub for larger databases is via a scheduled task, set to run outside of office hours. For assistance with this please contact Primacy support.
The scrub is performed by a stored procedure and will run against a third party database. Primacy Workplace currently has the ability to scrub against the following two third party databases:
- World-Check
- World Compliance
To scrub against World-Check
- Click Settings > Lists > Application configuration > System properties.
- Locate and double-click the Compliance scrubbing procedure system property.
- Under Value, enter DoWorldCheckVerification.
- Click Save and close.
- Locate and double-click the Compliance scrubbing results procedure system property.
- Under Value, enter GetWorldCheckScrubbingResults.
- Click Save and close.
To scrub against World Compliance
- Click Settings > Lists > Application configuration > System properties.
- Locate and double-click the Compliance scrubbing procedure system property.
- Under Value, enter DoWorldComplianceVerification.
- Click Save and close.
- Locate and double-click the Compliance scrubbing results procedure system property.
- Under Value, enter GetWorldComplianceScrubbingResults.
- Click Save and close.
To run a scrub
- Click Compliance > Tasks > Run automated compliance scrub.
- A warning message will appear. Click Yes to proceed.
Since running the process may take some time, we recommend scheduling the process outside of working hours.
The stored procedure will need to isolate a single business party in Primacy Workplace and check this against each line in the World-Check or World Compliance database. Every Primacy Workplace business party regardless of their Client status will be evaluated against each row in the third party database for the following categories:
- Individual
- Company
- Trust
- Fund
- Foundation
- Partnership
- Person
- Organization
- Prospect
- Candidate
To view the scrub results
- Click Compliance > Lists > Compliance monitoring > Automated scrub results.
- Under Summary, locate and click a business party. Only the names which are a possible match will be reported. The relevant matches for the business party will display below in the Details list.
The Summary list includes a column for Last touch date. This is the date that the record was last updated in the World Check or World Compliance database.
For detailed definitions of the fields in the list see Automated scrub results (list).
To remove items from the scrub results
Immediately after the scrub all the business parties in the upper pane will have a status of Warning: this party is active on the Compliance Monitoring list.
This warning is seen in the status bar when the business party properties are open.
- Click Compliance > Lists > Compliance monitoring > Automated scrub results.
- Locate and right-click the item you would like to work with.
- Select Ignore compliance hit.
Ignored items will immediately drop from the scrub results and the compliance status of New Match will change to Ignore. The Compliance status field can be seen in the properties of the business party under Compliance > General > Compliance verification.
When the status is changed to Ignore, the warning will be removed and the business party will only be reported in subsequent scrubs if the Last touch date is changed by World-Check /World Compliance.
When World-Check /World Compliance update a record, this will be reported in a scrub with a status of Updated Match.
